Segment 3: Making the MOST of Usage Reports
eLearning Management 101
You've recently launched your eLearning initiative and you're beginning to see
site activity. Your management communication, and awareness & promotional
efforts are starting to pay off. Well done!
Program "management" (post program launch) is necessary to keep the momentum
building. Remember to refer back to your "plan" are things on track? Do you need
to make any adjustments? Are there others ideas for promotion that you jotted
down and haven’t acted on?
Program management should not be a drain on your time and resources. A little
effort goes a long way. One way to gauge program success is to review employee
course usage reports. Two reports are issued by OFT on monthly basis:
Course Completion
This report reflects user name, user group name (internal to your dept), courses
accessed, number of course accesses, total time in course and assessment score.
This report is in an excel spreadsheet so you can sort data for distribution.
It’s strongly recommended that you issue reports to management on a monthly or
quarterly basis. This keeps management "in the loop," and is a terrific
opportunity to communicate with them on the program and keep them aware of its
application.
Figure out an appropriate way to recognize learners that are completing courses.
Do you have a system in place to issue completion certificates? Consider
emailing all participants with the names of employees that completed courses. By
nature we’re all curious to see who’s being successful! Again, this is a great
excuse to touch base with employees and keep them aware of the program.
Non-Participating Users
This report identifies employees that have not been active on the training site.
Generally speaking employees should start at least one course within 60 days of
receiving a user name and password. If this does not occur we recommend that you
communicate with them and see if they intend to use the resource. If not you may
re-issue it to someone else (contact the NYS Technology Academy for this procedure).
In Closing
eLearning programs take time to ramp up, so maintain enthusiasm and keep your
sights on the horizon. A successful program is the result of a well thought-out
implementation plan, featuring periodic updates and reinforcements.
